This Okta Workflows template provides a reusable scheduler for running multiple jobs with different schedule conditions.

Normally, you need to create a separate Scheduled Flow when jobs have different trigger times, weekdays, or dates. In some cases, an entire flow may contain only a Scheduled Flow trigger and a card that passes data to another flow.

This template centralizes the schedule configuration in an Okta Table and uses a shared Scheduled Flow to evaluate and run enabled jobs.

Supported schedules

  • Hourly
  • Daily at a specified hour
  • Weekly on a specified weekday and hour
  • Monthly on a specified day and hour

How it works

The template includes the following components:

  1. Scheduled Jobs Registry

    • An Okta Table containing the schedule and configuration for each job

  2. Scheduler Load Enabled Jobs

    • Runs once every hour
    • Loads enabled jobs from the Okta Table
    • Passes each job to the helper flow

  3. Schedule Match Runner

    • Compares the current time with the job’s schedule settings
    • Continues only when the schedule conditions match
    • Runs an action based on the job_name

The included example sends a Slack message. You can replace or extend the second If/Else If block to run different actions for each job_name.

The Slack channel, bot name, and bot emoji can also be configured for each job in the table.

Installation and setup

  1. Download generalScheduledFlow.folder.
  2. In Okta Workflows, import the folder file.
  3. After the import, open the imported folder.

The import creates the following as separate components inside the folder:

  • One Okta Table
  • One Scheduled Flow
  • One Helper Flow

After importing:

  1. Define your own jobs and schedule settings in the Scheduled Jobs Registry table.
  2. Verify that the Scheduled Flow references the imported table and Helper Flow.
  3. Configure the time zone in the Date & Time cards.
  4. Configure the required app connections, including Slack if you want to use the included example.
  5. Update the second If/Else If block to run the actions you want for each job_name.
  6. Test the flows before enabling the Scheduled Flow.
